Our client is a leading provider of specialist infrastructure and clinical support services, delivering high-quality mobile and modular facilities to healthcare organisations across the UK and internationally. Their purpose-built units include operating theatres, wards, and diagnostic suites — all supported by expert teams and equipment.

They’re now seeking a proactive and organised Maintenance Planner to join their team at their production and maintenance facility in Manningtree. This role is key to ensuring smooth maintenance operations across their nationwide fleet.

Job Duties

Maintenance Planning & Scheduling

  • Create and manage schedules for planned, preventative, and reactive maintenance
  • Coordinate with sub-contractors and internal teams to ensure timely delivery
  • Track progress and provide updates to the Maintenance Manager
  • Maintain calibration schedules and incorporate audit findings into planning
  • Use software tools to monitor task completion and flag outstanding actions

 

Administrative Support

  • Maintain accurate records of maintenance activities, reports, and warranties
  • Prepare performance reports and assist with budget tracking
  • Obtain quotes, process invoices, and support financial documentation
  • Cover Maintenance Coordinator duties during absence

 

Communication & Coordination

  • Act as a key contact for internal teams and external contractors
  • Schedule work around clinical operations to minimise disruption
  • Brief contractors on job details, timelines, and safety requirements
  • Organise travel, site access, and permits for field teams

 

Compliance & Reporting

  • Ensure all activities meet health and safety standards and company policies
  • Maintain audit and inspection records
  • Support documentation for internal and external audits
  • Report non-conformances and assist with resolution

 

Emergency Maintenance Support

  • Coordinate rapid responses to urgent maintenance issues
  • Maintain emergency contact lists and contingency plans
  • Record and report emergency actions and outcomes
  • Support post-incident reviews and process improvements

 

Continuous Improvement

  • Identify ways to improve scheduling and resource allocation
  • Analyse KPIs and historical data to optimise maintenance planning
  • Provide feedback on contractor performance and service delivery

Company Description
Applicant Specification

Experience & Qualifications:

  • 3–5 years in maintenance planning or a similar administrative role
  • Experience managing schedules across multiple sites
  • Familiarity with inventory systems and agile maintenance environments
  • PSP, CMMS, PMP, or Lean Six Sigma certification (advantageous but not essential)
  • Experience in healthcare or medical facilities (desirable)

 

Skills & Attributes:

  • Strong planning and scheduling ability within technical or facilities settings
  • Proficient in maintenance software and Microsoft Office
  • Excellent organisational skills and attention to detail
  • Confident communicator with strong coordination and negotiation skills
  • Customer-focused approach with the ability to escalate issues appropriately
  • Knowledge of health and safety regulations and compliance documentation
  • Able to assess equipment performance and recommend preventative strategies
